USPS Warns of Delays in Same-Day Mail Postmarking

The U.S. Postal Service (USPS) has announced upcoming changes that may impact the same-day postmarking of mail. This adjustment is a direct result of cost-cutting measures in its transportation operations, potentially leading to delays in mail reaching processing facilities.

Impact on Mail Services

These changes could pose challenges for individuals and businesses that rely on timely postmarks for critical documents. This includes important mail such as:

  • Bill payments
  • Tax submissions
  • Voting ballots

For example, quarterly estimated taxes need to be postmarked by specific dates: January 15, April 15, June 15, and September 15, to avoid penalties.

USPS Financial Challenges

These alterations are part of USPS’s broader 10-year plan aimed at reducing costs and enhancing profitability. The agency’s financial report showed a slight decline in losses, with a reduction from $9.5 billion in 2024 to $9 billion in the previous year. Despite these improvements, USPS continues to face challenges with rising expenses and declining mail volumes.

According to USPS, “We have made adjustments to our transportation operations that will result in some mailpieces not arriving at our originating processing facilities on the same day that they are mailed,” as noted in a post on January 2.

Transportation Overhaul

The new reorganization plan of USPS includes a significant overhaul of its regional transportation system. This will involve:

  • Reducing vehicle trips for transporting mail from post offices to processing plants.
  • Changing how postmarks are applied, potentially causing mismatches between the date of mailing and the postmark.

The USPS confirmed that the postmarks, which are applied at processing facilities, “will not necessarily match the date on which the customer’s mailpiece was collected.”

Ensuring Same-Day Postmark

To ensure mail receives a same-day postmark, USPS suggests customers request postal clerks to manually postmark their letters or packages at the counter. Additionally, options such as certified mail or registered mail are available for purchase. These services come with a receipt that includes tracking information.

While postmarks have long been used by the public, businesses, and government agencies to confirm when mail was sent, USPS clarified that these markings are primarily for its internal operations, such as canceling postage.
